Job Description

Radiation Safety Program Coordinator The Radiation Safety Program Coordinator reports to the Executive Director, Radiation Safety Programs, and is responsible for the smooth day-to-day operation of the Radiation Safety Office. The Radiation Safety Program Coordinator has a full understanding of all duties necessary to support the Executive Director, Managers of Research and Clinical Radiation Safety Programs, and radiation safety staff. Independently develops projects and programs to improve the overall effectiveness of the Radiation Safety Programs. This requires an individual with exceptional customer service and organizational skills, and the ability to work independently. This position is responsible for the above activities for Columbia University Irving Medical Center, Morningside, and Manhattanville campuses, the NewYork-Presbyterian Hospital, the New York State Psychiatric Institute, Nevis Labs, Lamont-Doherty Earth Observatory and Barnard College. Occasional commuting between campuses is required. SUBJECT TO BUSINESS NEEDS, WE MAY SUPPORT FLEXIBLE AND HYBRID WORK ARRANGEMENTS. OPTIONS WILL BE DISCUSSED DURING THE INTERVIEW PROCESS Responsibilities Receives, reviews, and processes occupational dosimetry requests. Accurately and efficiently manages all associated records (hardcopy and electronic) Manages the distribution and collection of occupational dosimetry in coordination with radiation safety staff Trains employees and department liaisons on proper use of occupational dosimeters and accessing vendor website/application Maintains and reports compliance metrics for the occupational dosimetry program on a routine basis Coordinates the scheduling of periodic audits and regular trainings between radiation safety staff and user departments Assists the Senior Radiation Safety Committees Coordinator in arranging meetings, recording and distributing meeting minutes and records Assists the radiation safety staff with the drafting and maintenance of policies and procedures documents Develops and maintains files (electronic and hardcopy), records and statistics related to Radiation Safety program operations including staffing, service contract expenses, regulatory files, etc. Prepares, analyzes, and generates reports as requested Coordinates and supports all administrative office tasks required by the Executive Director and requested by radiation safety staff, ensuring a smooth and efficient running services at all times. Independently follows up as needed in all areas Screens and routes all telephone calls in a professional manner. Employs communication tools to ensure clear and concise information is conveyed to appropriate Radiation Safety staff. Drafts and/or composes correspondence for review and approval Orders all office supplies necessary for the smooth and efficient operation of the office Opens, sorts, screens, records, and distributes mail to appropriate recipients in a timely manner Assists in the coordination and implementation of special events, meetings, travel, training, and regulatory inspections Provides backup coverage (lunch breaks, sick time, etc.) to administrative staff in Department of Environmental Health and Safety Performs related duties and responsibilities as assigned Minimum Qualifications Bachelor's degree or equivalent and a minimum of three years of related work experience required. Additional training or experience in regulatory and/or legal or healthcare work environment helpful. Excellent interpersonal and communication skills, both written and verbal, required. Excellent organizational abilities, customer service, ability to manage to deadlines, and relate to all levels of personnel in a collaborative manner. Demonstrated ability to set priorities, work diplomatically and efficiently in a fast-paced demanding environment. Must be detail oriented, with demonstrated proficiency in Microsoft Office software products and data input and database management. Ability to take initiative and work independently. Ability to rapidly integrate and participate as part of the administrative team.
